Task Management

  • allows the centralized management of all tasks for the project, regardless of their origin.
  • ensures that the project manager will oversee all tasks.
  • guarantees that everyone can manage respectively track his/her relevant tasks, regardless of task‘s origin.
  • enables a comfortable “bidirectional” navigation between the respective task and its origin and thus guarantees a maximum of understanding for each task.
  • illustrates tasks‘ status in an easy and understandable manner.
  • includes the possibility according to which tasks can be linked to reference objects (e.g. plant component, systems, request for quotations, quotations, purchase orders, invoices, etc.) or documents and thus ensures a maximum of understanding for the respective task.
  • considers the possibility of subdividing tasks into subtasks and their assignment to multiple project stakeholders, which allows the systematic and step-by-step completion of such type of tasks.
  • includes the submission of tasks via email to all those project stakeholders who do not have access to the software, thus ensuring maximum flexibility in the organization of tasks.

Organization of „Minutes of Meeting“

  • allows the preparation and professional recording of meetings respectively meeting notes including their central filing for the fastest possible access to relevant meeting information.
  • enables the output of meeting minutes in both, in paper format and digital format.
  • records meeting participants or persons put in copy, their assigned actions = tasks (!) to obtain a comprehensive overview about the purpose of such meeting and discussed topics.
  • shifts actions = tasks derived from meetings for individual project stakeholders into the task pool automatically, which simplifies the tracking of actions = tasks.
  • allows linking of meetings / topics with reference objects (e.g. plant components, systems, plants, orders, inquiries, quotations, etc.) and provides meeting participants or project stakeholders a complete overview about meeting objectives or actions / tasks derived.
  • allows linking of meetings / topics with documents that are filed centrally and thus increases the quality of meetings.
Data Management

Data Management

  • enables the elaboration or transmission of technical information and data for both process-relevant and non-process-relevant plant equipment (e.g. mechanical or rotating equipment, piping, E+I, electrical equipment, technical building equipment, civil structures, steel structures, etc.) across all project phases and technical disciplines.
  • guides the user/engineer “step by step” through the processing of plant components using the specially developed progress stage verification method (i.e. definition of required activities per working step and component type as well as their verification for compliance by using specific checklists).
  • uses the mechanisms of the progress stage verification method for the announcement, inspection and approval of engineering, procurement and construction activities per plant component or for groups of plant components and for documentation of the progress, respectively for progress analyses and for project control.
  • allows the flexible combination of various plant components to specific systems, groups or packages and their combined consideration, analysis and control of project activities (e.g. stress calculation systems, press circuits, rinsing circuits, etc.)
  • enables a clear picture about all activities in conjunction with plant components (e.g. relevant tasks, relevant meetings, relevant procurement activities, relevant documents, relevant change management processes, etc.). Additionally, there shall be achieved maximum transparency and appropriate reliability of data elaborated.

Procurement Management

  • allows the central and comprehensive organization of procurement activities for the project (e.g. inquiries, quotations, orders, invoices).
  • includes the possibility of linking procurement activities to relevant components or adding freely definable service items and thus making procurement information immediately available to the respective component during its processing.
  • contains logically sequenced procurement activities and ensures a maximum overview of the respective procurement process (starting with the request for quotations via reception of appropriate quotations | bid comparisons and subsequent bidder discussions up to the issue of purchase orders and invoices associated).
  • enables the definition of tasks in conjunction with procurement activities, which are shifted into centralized task management automatically.
  • allows the linking of procurement activities (e.g. inquiries, quotations | bid comparisons, purchase orders, invoices) with centrally filed documents, thus ensures a maximum overview about the respective procurement process.
  • uses component type-specific technical comparison criteria (e.g. those from pumps, heat exchangers, columns, etc.) automatically, which simplifies the execution of technical bid comparisons.
  • includes the option of creating “pseudo-procurement processes”, especially at the beginning of a project, which allows reliable statements or considerations about the scope/efforts of procurement activities, costs and/or the required cash flow for the respective project.
  • includes dashboard functions for the quick analysis of procurement activities, their categorization and / or status.

Change Management

  • allows the reproducible organization and documentation of changes during the project realization under consideration of specific forms such as Technical Queries | Observations (general), Deviation Reports or the commissioning of additional services via Change Orders. In the case of services that are owed but not provided, credit notes can be handled also.
  • is the basis for claim management in conjunction with procurement management.
  • represents an element and tool for each quality management system.
  • allows linking of change processes with e.g. plant components and documents and thus provides a maximum overview about all change processes during the course of the project.
Document Management

Document Management

  • enables shared access to project documents of different type and format through its centralized document filing and its appropriate document management.
  • minimizes the risk of multiple filing by project stakeholders and ensures a common working basis.
  • allows immediate viewing of project documents by the integrated document viewer, which significantly enhances the user experience.
  • allows linking documents with other reference objects (e.g. plant components, technical systems | sub-systems, meetings, inquiries, quotations, orders, etc.), thus avoiding multiple uploads and ensuring that reference objects can be connected with such documents.
  • includes the management of document revisions, including their filing or even their retrospective viewing. Additionally, subsequent statements about document’s history can be made.
Company and project-specific administration

Company and project-specific administration

  • allows the central administration of company contacts and their assignment to projects on demand. Companies contacts can be involved while using PROJECTTASKFORCE EPCM-software to provide direct input for the respective project.
  • enables the administration of company-internal employees and their dedicated assignments to projects, whereby specific project tasks can be assigned to these project participants. The same applies to external project participants with an user admin to PROJECTTASKFORCE EPCM-software.
  • includes multilingual displaying of all “views” of PROJECTTASKFORCE EPCM software, which minimizes misunderstandings or incorrect handling of the software.
  • allows the individual definition of various project parameters.
